AI Fair Usage Policy

1. Purpose

This policy sets out how you may use the artificial intelligence features within Tapapp, and the limits that apply. It protects service quality for all customers and keeps the platform sustainable to run. It applies alongside our subscription terms, Acceptable Use Policy, and AI Transparency Statement.

 

2. Scope

This policy covers all AI-assisted features in Tapapp, including Tracey, the AI form builder that generates form and checklist structures from your prompts, and any future AI feature we add to the platform. AI features run on metered third-party infrastructure. Each request carries a real cost. Fair usage limits exist because of this.

 

3. What counts as usage

A single billable AI action is one generation. A generation is one completed request to an AI feature that returns a result. Examples of one generation: asking Tracey to build a new form from a description, or asking Tracey to rewrite or extend an existing form. Re-rendering a result you already generated does not count. A failed request that returns no usable result does not count.

 

4. Your allowance

Each subscription plan includes a monthly AI generation allowance. Allowances reset on your billing date.

These figures are set so that normal day-to-day use never reaches the limit. Values may change with notice under section 9.

 

5. Top-up packs

If you reach your monthly allowance, you can buy a top-up pack of additional generations, or wait for your allowance to reset on your next billing date. Top-up packs apply to the current billing period and do not roll over unless we state otherwise at point of purchase.

 

6. Fair use principles

AI features are provided for genuine, human-paced use inside your own organisation. You agree not to: send automated, scripted, or bulk requests to AI features outside the platform interface, use AI features to provide a form-generation or AI service to third parties as if it were your own, share one account across many users to pool allowances, or generate content at a volume or rate that a normal user could not produce by hand.

 

7. Rate limiting

We may apply technical limits to protect the service, including limiting how many requests you can send in a short period, queuing or slowing requests during heavy load, and temporarily pausing AI access for an account showing automated or abusive request patterns. We will apply these limits proportionately and restore normal access as soon as the cause is resolved.

 

8. Prohibited AI use

You must not use AI features to: generate unlawful, infringing, harmful, or deceptive content, attempt to extract, copy, or reverse engineer the underlying AI model, inject instructions that try to bypass platform controls or alter the behaviour of the AI for other users, or probe, attack, or disrupt the AI service or the infrastructure it runs on. Breach of this section may lead to suspension or termination under our Acceptable Use Policy.

 

9. Changes to allowances

We may change AI allowances, top-up pricing, or the features covered by this policy. We will give you at least 30 days notice of any material reduction to an included allowance, by email or in-product notice.

 

10. Human review

AI output is a starting point, not a finished product. You are responsible for reviewing and approving any form, checklist, or content an AI feature produces before you use it operationally. See our AI Transparency Statement for detail.

 

11. Monitoring

We monitor aggregate AI usage to operate the service, enforce this policy, and plan capacity. We do this in line with our Privacy Policy and Data Processing Agreement.
